What the Guest Sees: Email Breakdown

When you respond to a guest through the Guest Recovery platform, your message is delivered as a branded email directly to their inbox. Here’s what that email typically includes:


Subject line

By default, the subject line reads:
“Your feedback is important to us”
(This can be customised if needed.)

Personalisation

The email will include:

  • The guest’s name, if available

  • The sender’s name, pulled from the team member who replied

  • Your brand and venue name, to make it immediately recognisable


Message thread

The full conversation is displayed using the formatted Messages thread, which shows:

  • Each message

  • Who sent it

  • The date and time it was sent

This helps the guest follow the conversation clearly, especially if there are multiple replies.


Design and branding

Depending on your configuration, the email may also include:

  • Brand logo and/or venue logo

  • A main image, background colour, and font colour that reflect your brand

  • Optional preview text, shown in the inbox before the email is opened


Body content

The body of the email supports HTML, which means your reply can include:

  • Line breaks

  • Emphasis (bold/italic)

  • Links or styled text, if needed

This helps ensure your messages not only sound thoughtful but look professional and on-brand too.
